1. About this policy

This Privacy Policy explains how Approached (ABN 99 726 525 342) collects, holds, uses, shares, and protects your personal information.

It applies to all visitors, applicants, buyers, and Members of Approached, across every market in which Approached operates, including Australia, New Zealand, the United Kingdom, the United States, Canada, Singapore, Japan, and other markets where Approached is active at the date you provide your information.

Approached is committed to handling your information lawfully, fairly, and in a way that reflects the seriousness of the work you're trusting it with. If you're senior enough to be considering Get Approached, you're senior enough to deserve a clear answer to "what happens to my data."

This policy is the clear answer.


2. Who is responsible for your data

The data controller (or equivalent term in your jurisdiction) is Approached, operating under ABN 99 726 525 342.

You can reach Approached's privacy contact at [email protected] at any time. Approached will respond to all reasonable privacy requests within 30 days, or sooner where required by your local law.


3. What personal information Approached collects

Approached collects only the information needed to deliver the service you've engaged it for, or to operate the website and marketing channels that introduce people to Get Approached.

Information you provide directly.

Identity and contact information. First name, surname, email address, mobile or messaging number (where you choose to share it), country and city.

Professional information. Current job title, current employer, length of tenure at current level, LinkedIn profile URL, target job title, target sectors, target compensation band, timing of your next move, and the context you choose to share about why you're considering Approached.

Application and Assessment information. Your responses to the Positioning Report, your responses to the Positioning Assessment Application form, and the information you share during the 1-hour Positioning Assessment conversation with your assigned Consultant.

Delivery information. Any career history, work product, writing samples, photo files, or other materials you share with Approached during the production of your Get Approached Deliverables.

Membership information. Your participation in monthly group calls, contributions to the senior leader community, and attendance at Member events.

Payment information. Approached does not store your full card details. Payments are processed by Approached's third-party payment processor (currently Stripe via Kajabi), which is responsible for handling card data in accordance with PCI-DSS standards. Approached receives transaction confirmations and the last four digits of the card used.

Information collected automatically.

When you visit approached.au or interact with Approached's marketing channels, Approached collects certain technical information automatically. This includes your IP address, browser type, device type, operating system, referring website, pages visited, time spent on each page, and similar analytics data. This information is collected through cookies, tracking pixels, and similar technologies described in clause 9.

Information from third parties.

Approached may receive information about you from sources other than you, including LinkedIn (where you have made your professional information publicly available), publicly accessible business directories, and referrers who have introduced you to Approached. Approached uses this information only to verify the details you've provided, to understand the context of your engagement, or to research target organisations on your behalf as part of the Decision-Maker Map.


4. How Approached uses your information

Approached uses your personal information for the following purposes.

To respond to your enquiries, including answering questions about Get Approached before purchase.

To process your Positioning Assessment Application, assess fit, and arrange your Assessment booking.

To deliver Get Approached, including production of all Deliverables and provision of Membership.

To process payments, issue tax invoices, and manage payment plan schedules.

To communicate with you during and after the engagement, including delivery updates, Membership invitations, refresh reminders, and end-of-Membership renewal information.

To send marketing emails (such as The Early Approach newsletter) where you have subscribed or otherwise consented. You can unsubscribe at any time using the link in any marketing email.

To improve Approached's website, methodology, and service, including through analytics, surveys, and feedback.

To meet Approached's legal, tax, accounting, insurance, and regulatory obligations across the markets in which it operates.

To protect Approached against legal claims, fraud, abuse, or breach of these Terms.

Approached does not sell your personal information to any third party. Approached does not share your information with employers, recruiters, or executive search firms.


5. The legal basis for processing your information

Where required by GDPR, UK GDPR, or equivalent laws, the legal bases on which Approached processes your information are as follows.

Performance of a contract. Most of Approached's processing is necessary to perform the Get Approached engagement you've purchased, or to take steps at your request before entering into that engagement (for example, processing your Application).

Legitimate interests. Approached processes some information based on its legitimate interest in running a viable business, improving its services, preventing fraud, and protecting its rights. Where Approached relies on legitimate interests, it has assessed that those interests do not override your privacy rights.

Consent. Where you subscribe to The Early Approach newsletter, agree to be named in a published case study, or opt in to non-essential cookies, Approached relies on your consent. You can withdraw consent at any time.

Legal obligation. Approached processes some information to meet legal, tax, and regulatory obligations.


6. Who Approached shares your information with

Approached shares your personal information only with the parties listed below, and only to the extent needed.

Your assigned Consultant. Approached operates a network of trained Consultants who deliver Get Approached on behalf of Approached. Your information is shared with your assigned Consultant for the purpose of delivering your engagement. All Consultants are bound by written confidentiality and data protection obligations consistent with this Policy.

Third-party service providers. Approached uses the following service providers to operate its business. Each is bound by its own privacy commitments and by the contractual data protection obligations Approached has put in place.

Kajabi (course delivery, checkout, CRM, email marketing).

Stripe (payment processing, via Kajabi).

Google Workspace (Drive for Deliverables storage, Gmail for communication, Docs for collaboration, Calendar for scheduling).

Airtable (internal database for Applications and engagement tracking).

Apollo (data enrichment and research for the Decision-Maker Map).

Canva Pro (design production for banner and visual assets).

Booking and meeting platforms (Calendly, Zoom, or equivalent, for scheduling and delivering the Positioning Assessment and Membership calls).

Approached reviews its service providers periodically and may add, change, or remove providers over time. Material changes will be reflected in updates to this Policy.

Professional advisers. Approached may share your information with its accountants, auditors, insurers, and legal advisers on a confidential basis as needed.

Authorities and regulators. Approached may share your information with government authorities, regulators, courts, or law enforcement where required by law in any jurisdiction in which Approached or you operate, or where necessary to protect Approached's legal rights.

In a business transition. If Approached is restructured, merged, or sold, your information may be transferred to the acquiring party as part of that transition. Any such transfer will respect the protections in this Policy.

Approached does not share your information with employers, recruiters, executive search firms, or anyone else who might use it to make decisions about your career without your express written consent.


7. Cross-border data transfers

Approached operates across multiple countries. Your information may be transferred to, stored in, or processed in countries other than the country in which you live.

The most common cross-border transfers occur because.

Your assigned Consultant may be based in a different country to you.

Approached's service providers (Kajabi, Stripe, Google, Airtable, Apollo, Canva, and similar) are based in the United States, the United Kingdom, Australia, and other countries.

Approached's central business records and Membership operations are based in Australia.

Where information is transferred outside the country in which it was collected, Approached takes reasonable steps to ensure the receiving country provides equivalent protections, or implements contractual safeguards (such as Standard Contractual Clauses approved by the European Commission or UK Information Commissioner's Office) where required.

By engaging Approached, you consent to these cross-border transfers, subject to the protections required by your local law.


8. How long Approached keeps your information

Approached keeps your information only for as long as it needs to.

Application information. If your Application does not lead to an engagement, your information is kept for 12 months and then deleted, unless you have subscribed to a marketing list (in which case the marketing record is kept separately).

Engagement records. Your engagement records (including Application, Assessment notes, Deliverables, and Membership participation) are kept for 7 years from the end of your Membership, in line with Australian tax record retention obligations. After that period, records are deleted or anonymised.

Marketing records. Your marketing subscription is kept until you unsubscribe or for 24 months of inactivity, whichever is earlier.

Payment records. Payment records are kept for the period required by tax law in each jurisdiction in which payment was made.

Legal hold. If Approached has a legal obligation to keep certain records (for example, a dispute or regulatory investigation), those records are kept until the obligation ends.

You can request deletion of your information at any time as described in clause 10. Where Approached is unable to delete due to a legal obligation, it will tell you and delete as soon as the obligation ends.


9. Cookies and tracking

Approached uses cookies and similar technologies on approached.au to operate the website, understand how it is used, and improve it over time.

Essential cookies. These are necessary for the website and checkout to work. They cannot be turned off.

Analytics cookies. Approached uses Google Analytics (or equivalent) to understand which pages are visited, how visitors arrive at the site, and how the site is performing. Analytics data is anonymised where possible.

Marketing cookies. Approached may use marketing pixels (such as Meta Pixel, LinkedIn Insight Tag, or Google Ads tracking) to measure the performance of marketing campaigns and reach relevant audiences.

You can control non-essential cookies through the cookie banner on approached.au and through your browser settings.

For buyers and visitors in jurisdictions that require explicit consent for non-essential cookies (including the United Kingdom, the European Union, and others), Approached requests consent before any non-essential cookies are set.


10. Your rights

You have rights over your personal information. The specific rights available to you depend on the jurisdiction in which you live. The rights described below are available to all visitors and buyers, with jurisdiction-specific additions noted.

Access. You can request a copy of the personal information Approached holds about you.

Correction. You can ask Approached to correct information that is inaccurate or incomplete.

Deletion. You can ask Approached to delete information about you, subject to legal obligations to retain certain records.

Restriction. You can ask Approached to restrict the use of your information in certain circumstances.

Objection. You can object to certain uses of your information, including direct marketing.

Portability (where GDPR or equivalent applies). You can ask Approached to provide your information in a portable format, or to transmit it to another service.

Withdraw consent (where consent is the legal basis). You can withdraw consent for marketing emails or non-essential cookies at any time.

Right not to be subject to automated decision-making. Approached does not make decisions about you using fully automated means.

Additional rights for buyers in California (CCPA / CPRA). Right to know what personal information is collected, used, shared, or sold. Right to delete. Right to correct inaccurate information. Right to opt out of the sale or sharing of personal information (Approached does not sell or share for cross-context behavioural advertising in the CCPA sense). Right to non-discrimination for exercising these rights.

Additional rights for buyers in Singapore (PDPA). Right to withdraw consent and right to request access and correction of personal data.

Additional rights for buyers in Japan (APPI). Right to request disclosure, correction, or suspension of use of personal information.

To exercise any of these rights, email [email protected]. Approached will respond within 30 days, or sooner where required by your local law. Approached may need to verify your identity before acting on a request.


11. Security

Approached takes reasonable steps to protect your information against loss, misuse, unauthorised access, disclosure, alteration, and destruction.

These steps include.

Restricting access to personal information to Approached and assigned Consultants who need it to do their work.

Requiring all Consultants to sign written confidentiality and data protection agreements.

Using reputable third-party service providers with their own enterprise-grade security commitments.

Encrypting data in transit between Approached, its service providers, and you.

Reviewing and updating security practices periodically.

No system is perfectly secure. While Approached takes its security obligations seriously, it cannot guarantee that information will never be subject to a breach. If a breach occurs that is likely to result in serious harm, Approached will notify affected individuals and the relevant regulator in line with its obligations in each jurisdiction (including the Notifiable Data Breaches scheme in Australia, the UK ICO breach notification rules, GDPR Article 33, and equivalent obligations elsewhere).


12. Marketing communications

Approached sends marketing emails (such as The Early Approach newsletter) only to people who have subscribed or who have engaged with Approached in a way that gives Approached a legitimate interest in following up.

Every marketing email contains an unsubscribe link. Clicking it removes you from the marketing list. Transactional and engagement-related emails (such as delivery updates and Membership notifications) are sent separately and cannot be unsubscribed from while your engagement is active.


13. Children

Approached's services are intended for senior professionals with at least 10 years of experience at senior management level. Approached does not knowingly collect personal information from anyone under the age of 18. If you believe Approached has collected information from a person under 18 in error, please email [email protected] and Approached will delete it.


14. Third-party websites

Approached's website may link to third-party websites, articles, or tools. Approached is not responsible for the privacy practices of those third parties. You should review the privacy policy of any third party you visit through an Approached link.


15. Changes to this Policy

Approached may update this Policy from time to time. The version in force at the date you provided your information governs Approached's handling of that information.

Material changes will be communicated by email to active buyers and Members. The "last updated" date at the top of this Policy will always reflect the current version.


16. Complaints

If you're not satisfied with how Approached has handled your information, please email [email protected] first so Approached can try to resolve it directly.

If you remain dissatisfied, you can complain to the data protection regulator in your jurisdiction.
